What TenancyPack holds, and why

What we hold

Your account

Your email address, and the landlord name, notice address and phone number you enter for use on your documents.

Tenant details

Tenant names and email addresses that you enter. We hold them for two purposes only: to send the documents you ask us to send, on your behalf, and to keep the proof-of-service log that records those sends. We do not market to your tenants and we do not sell or share their details.

Uploaded certificates

Gas safety records, EICRs, EPCs, alarm records and deposit certificates that you upload are stored so they can be attached to sends and so we can remind you before they expire.

The proof log

For each service: the timestamp, the method, the recipient, the subject, the filenames sent and the SHA-256 hash of each file. Rows are hash-chained. The log is evidence, so it is not editable — by you or by us.

What we do not do

• No analytics. No tracking cookies. No third-party pixels or tag managers.
• One cookie: the session cookie that keeps you signed in. It is strictly necessary, which is why there is no cookie banner asking you to agree to anything.
• The free Section 13 tool stores nothing it processes. Your entries build the PDF in the request and are gone when it is returned. You do not need an account to use it, and we do not create one.

Who is responsible

Under UK GDPR you are the controller of your tenants’ personal data. Jadthena Limited is the processor, acting on your instructions to generate and send documents and to keep the resulting log.

We keep your data while your account exists. If your subscription lapses, nothing is deleted — your documents and proof log stay readable. If you want your account and its data removed, ask, and we will do it, with the exception of anything we are required to retain.
